CALIT2 seeks to foster a positive, vibrant, collaborative, productive and attractive research environment. With this in mind, building occupants and guests are asked to be mindful of the following general expectations:
• Occupants are expected to abide by all applicable University policies and procedures. It is the individual’s responsibility to keep informed of these policies and procedures.
• Occupants and items within the building are to be treated with respect by all.
BUILDING ACCESS POLICIES
Access to the CALIT2 building public areas is generally unrestricted during regular business hours. Access during non-business hours is by key or card key only. Key or card key holders are allowed to bring in guests but must be responsible for ensuring that their guests abide by the building policies.
MOVING INTO OR OUT OF THE BUILDING
All individuals and groups moving into or out of the building are expected to use the loading dock entrance and the freight elevator. No items are to be moved in through the front door nor are the passenger elevators to be used for this purpose at any time. All moves should be coordinated in advance with the CALIT2 Facilities Manager.
KEYS
Keys and/or card keys to CALIT2 facilities are the responsibility of the individuals to whom they are issued, whether or not they are in that individual’s possession.
Issuance of Keys/Card Keys
• Building access via keys and/or card keys is managed by CALIT2 Facilities Management.
• Written approval for any key/card key distribution must be obtained in advance from the project director or PI.
• At the time any key/card key is issued, the user is required to show proper university identification and fill out and sign a CALIT2 check-out form.
• A $15.00 deposit is required for all card keys and a $10.00 deposit for all hard keys.
• Non-university personnel may obtain keys/card keys only through and at the discretion of the CALIT2 Director.
Key Return
• All keys/card keys are to be returned directly to CALIT2 Facilities Management upon termination of building occupancy of any user.
• All keys/card keys will be accounted for and an exiting signature obtained.
• The $15.00 card key deposit/ and the $10.00 hard key deposit is refunded at this time.
• Keys/card keys MUST NOT be exchanged directly between exiting building occupants and new in-coming building occupants.
Lost Keys
• Lost keys/card keys should be reported immediately to the CALIT2 Facilities Manager.
• Any charges levied for the loss of any key/card key are at the discretion of the CALIT2 Directors office.
Key Security
• Change requests to locks and/or lock systems must be submitted in writing directly to the CALIT2 Facilities Manager for review.
• Building Masters will not be distributed to students or unauthorized personnel at any time.
• A key inventory is maintained by the CALIT2 Facilities Manager with a duplicate inventory maintained by the Campus Lock Shop. The key inventory is reviewed quarterly to insure security.
• All university keys have corresponding distribution codes and serial numbers engraved on them for identification. These codes should never be covered or altered. Keys should not be tagged directly or marked by users.
• At no time should keys/card keys be exchanged between current building occupants, in- coming building occupants, or persons not affiliated with CALIT2.
BUILDING SECURITY
The CALIT2 building has been designed around the concept of an open, collaborative environment. Consequently security for the building, its occupants and its contents is everyone’s responsibility.
Open Area Access
• While groups and/or projects will be assigned space within open areas, only areas behind locked doors or with key card only access are restricted to those individuals to whom keys or key cards are issued. However, individuals not associated with a specific project may be asked to leave the project’s assigned area if their presence interferes with project activities.
• As a matter of safety, access to open areas is not to be impeded at any time.
• To the extent possible, building occupants are encouraged to keep valuable items in a safe place.
• CALIT2 is not responsible for items brought into the building by building occupants or visitors.
Video Surveillance System
• Occupants and visitors to the building are advised that the CALIT2 building is equipped with a video surveillance system. The purpose of the security cameras throughout the building is to provide a mechanism to record activity in areas that either have a potential for theft or may be routes used to exit the building during a theft.
• The images from the security cameras will not be monitored. The images will be stored and kept for the purpose of review in the event that a problem is brought to the attention of CALIT2 personnel. Only those individuals responsible for the system administration of the security system will have full access to the stored images.
• Access to the stored images will be provided to the university police when a possible crime has occurred and a request for access to the data has been made. Access will also be provided whenever required by law or a court order. No other use will be made of the images without appropriate CALIT2 approval. Signs indicating that video surveillance is in use will be posted in public areas.
BUILDING USE
The CALIT2 building is for the use of its occupants and invited guests who are here on business. Individuals or groups not associated with CALIT2 may use its facilities if explicitly invited or permitted to do so by the CALIT2 director or representatives of the director’s office. In addition, occupants are to be mindful of the following expectations:
• Occupants are expected to be considerate of others working nearby.
• Loud conversations and meetings are expected to take place either in conference rooms, or in public spaces, such as the lounges designed for these activities.
• CALIT2 supplies available for use by building occupants should be used judiciously. Excess usage may result in charges needing to be levied.
• Occupants are expected to maintain the orderliness and cleanliness of areas they use to a reasonable standard.
• All are expected to help maintain the building in good condition.
• All problems with building facilities or equipment are to be reported promptly to the CALIT2 Facilities Manager.
• Equipment may not be taken from the building without written approval in advance. All arrangements of this kind are to be coordinated through the CALIT2 Facilities Manager.
• Renovations or alterations of space must be approved by submitting requests to the CALIT2 Facilities Manager for consideration.
• All Facilities Management Requisitions (FMRs) must be routed through the CALIT2 Facilities Manager.
